Marriage Tribunal Administrative Assistant (Full-Time)

The Diocese of Lincoln is seeking a Marriage Tribunal Administrative Assistant to assist in the Church’s canonical ministry of assisting those seeking declarations of nullity of marriage. This position provides administrative support, transcriptions of testimony, case management, and correspondence while working closely with clergy, tribunal staff, and the faithful. Candidates should possess strong organizational, communication, and computer skills, maintain strict confidentiality, attention to detail, and have a commitment to supporting the mission of the Catholic Church.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Transcribes depositions and testimonies from audio recordings using voice recognition software
  • Completes portions of case sentences from file information and Judge-Instructor notes
  • Proof reads and corrects various documents and correspondence, including decrees and sentences
  • Handles contacts via phone and email with principals and witnesses involved in nullity cases, other Tribunals, pastors, advocates and parish staff, as well as miscellaneous inquiries
  • Prepares decrees, letters, reminders and other correspondence for cases
  • Authenticates and notarizes documents
  • Processes incoming mail
  • Creates, prepares and maintains paper and electronic case files
  • Monitors and maintains cases throughout multiple stages in the process and updates agenda for cases to be reviewed
  • Posts and deposits money and arrange payments as needed
  • Monitors cases on appeal to Omaha and Rome
  • Helps keep database up to date with relevant technology needs
  • Monitors and orders office supplies and enclosures, coordinates printing with inhouse printer and outside print vendors
  • Creates and updates various documents and forms used
  • Creates reports for priest/advocate reassignments and updates the database at the appropriate times
  • Prepares multiple end-of-year Tribunal reports
  • Maintains and follows written procedures
  • Reviews and purges archive files and ensures retention of essential material
  • Other duties as assigned

MINIMUM QUALIFICATIONS

  • Must have 1-2 years administrative assistant or related experience
  • Must be 19 years of age
  • Must be eligible to work in the United States
  • Must be willing to submit to a criminal background check

REQUIRED KNOWLEDGE, SKILLS, ABILITIES

  • Proficiency with Windows and Microsoft Office and word processing programs,
  • Above average typing speed/accuracy
  • Excellent proofreading skills.
  • Knowledge of or ability to learn transcription, as well as the use of voice recognition software
  • Knowledge of or ability to learn Adobe Professional and Microsoft Access
  • Organizational skills and ability to prioritize assignments in order of high to low importance
  • Superior verbal, written, and presentation skills, especially when communicating with parties and editing decrees and lengthy sentences
  • Keen attention to detail is essential when working with nullity cases, especially canonical legal process; small details can delay cases or affect the outcome of an annulment
  • Must be able to keep strict confidentiality while working daily with cases detailing the abuse and trauma often involved with divorce
  • Must be able to work professionally and respectfully with sensitive personal information regarding drug abuse, physical abuse, and other difficulties that cause marriages to fail
  • Annual Safe Environment training
  • Ability to work with personnel with all levels of expertise

DESIRABLE TRAINING AND EXPERIENCE

  • Associate degree in Business Administration or related field
  • 5-10 years of applicable experience
  • Working knowledge of Spanish
